AI desk for a government minister's office

A phone and iPad assistant for a minister's Private Secretary that answers questions from government sources in Kannada or English, records meetings into minutes, triages email and turns it all into tasks the PS approves.

The problem

A minister’s Private Secretary works across government circulars, schemes, meetings, email and WhatsApp, in Kannada and English, and has to keep track of everything that comes out of them.

What we built

A knowledge engine and an action engine in one assistant:

  • Answers with sources. Questions are answered from government websites, circulars and schemes, in the language of the question (Kannada or English), with numbered sources.
  • Meetings to minutes. Recordings become speaker-labelled transcripts (Sarvam), then minutes with action items (Claude).
  • Email triage. The inbox is triaged every five minutes, and reply drafts are saved but never sent automatically.
  • WhatsApp in one tap. Messages and voice notes come in through a one-tap share Shortcut.
  • Nothing happens without approval. Every task is approved by the PS before it reaches iCloud Calendar and Reminders, with two-way sync.
  • Translation. Text, photos and PDFs of circulars are translated between Kannada and English.
  • Morning plan. A notification each morning with the day’s plan.

Sign-in uses Face ID passkeys, and the interface is a native iOS style.

Architecture

FastAPI with APScheduler for the recurring jobs, PostgreSQL with pgvector and Voyage multilingual embeddings for search, Claude for reasoning, iCloud CalDAV and Gmail IMAP for the PS’s own calendar and mail. It runs in Docker behind Caddy on Vultr in Bangalore, with an end-to-end test suite that runs against the live site.
